Palantrix stores all candidate video data — recordings, transcripts, and AI scores — on EU/Irish AWS infrastructure. Candidates are informed about recording and AI processing before their interview begins. Employers can configure data retention schedules aligned with GDPR obligations. Candidates can access their own data through the Palantrix candidate portal, and the full processing record is available for Subject Access Requests.
Data residency — EU and Irish infrastructure
All candidate data processed by Palantrix — video recordings, audio, transcripts, AI scores, and hiring team notes — is stored on AWS infrastructure hosted in the EU and Ireland. No candidate data is transferred outside the European Economic Area. This meets the GDPR data residency requirement and the practical expectations of Irish and EU employers operating under data protection obligations.
Candidate disclosure
Before any candidate begins a Palantrix video interview, they are clearly informed: that the session will be recorded, that AI will analyse their responses, what the analysis is evaluating, and how the results will be used in the hiring process. This disclosure is built into the candidate-facing flow — it is not buried in terms of service or a general privacy policy.
Candidates must actively proceed past this disclosure to begin the interview, creating a clear record of informed acknowledgement. Where candidates have concerns, they can contact the employer to request an alternative assessment method.
Data retention
GDPR requires that candidate data is retained only for as long as necessary. Palantrix provides configurable retention controls: employers can set deletion schedules aligned with their GDPR obligations — typically three to six months for unsuccessful candidates and the duration of employment for successful ones. Automated deletion can be configured, reducing the administrative burden of manual data lifecycle management.
Candidate data access
Candidates can access their own interview data through the Palantrix candidate portal — including their responses, transcripts, and AI scores. This directly supports the GDPR right of access and the EU AI Act's right to explanation. Subject Access Requests from candidates can be fulfilled completely and promptly, with the full processing record available in exportable form.
GDPR compliance is built in, not optional
Palantrix was designed with GDPR compliance as a foundational requirement, not an afterthought. EU/Irish data residency, candidate disclosure, configurable retention, and candidate data access are all standard features of every plan — not add-ons or enterprise-only capabilities.

What data does Palantrix collect from candidates?
Video recordings of interview responses, audio transcripts, AI-generated scores broken down by trait, and any metadata associated with the interview session (timestamps, device information). Palantrix does not collect facial expression data, emotional state data, or any biometric data beyond what is inherent in a standard video recording.
How long is candidate data retained by default?
Default retention settings are configurable by the employer, consistent with their GDPR obligations. Palantrix recommends a retention period of three to six months for unsuccessful candidates. Employers set their own retention policy within the platform; the platform enforces deletion schedules automatically.
Can candidates request deletion of their data?
Yes. Under GDPR, candidates have the right to request erasure of their personal data (the 'right to be forgotten') in certain circumstances. Where this right applies, Palantrix provides the tools for employers to fulfil deletion requests completely — removing recordings, transcripts, scores, and associated processing records.
